The Knowledge Base makes it easy to centralise your organisation's knowledge in one place. Here, you can both upload existing files and create documents directly within StoreSprint, ensuring that important information is always easy to find, update, and share with the right teams.

By gathering routines, instructions, guides, and processes in the Knowledge Base, you reduce dependency on individuals, save time in day-to-day operations, and ensure that everyone works from the same information.

Upload Files

Select the workspace (country or region) where the file should be available.

  1. Click Knowledge Base in the left sidebar.

  2. Click the blue Upload button in the top-right corner.

  3. Choose the file you want to upload from your computer.

  4. Once the file has been selected, a Draft will automatically be created.

  5. Open the draft. Here you can update the file name if needed before publishing.

  6. Select recipients and attributes to control which teams, departments, or units should have access to the file.

  7. Once the upload has completed, click Publish.

See the example below where I upload a file to the Norway workspace, update the file name, select recipients, and publish the document.

Tip!

  • Upload files at the correct level – for example, central documents at the country level and more specific documents at the regional level.

  • Use clear and descriptive file names so employees can easily understand the content.

  • Link files to tasks in the schedule to make instructions even clearer and easier to follow.

Create Documents Directly in StoreSprint

In addition to uploading files from your computer, you can now create and edit documents directly within StoreSprint.

Using attributes, you can control which teams, teams, or units should have access to the content – just like with Tasks and Signals.

Documents support Rich Text Editing, allowing you to add:

  • Images

  • Files and attachments

  • Links

  • Products directly in the text

This makes it easy to create clear and engaging content for your teams.

Examples of use cases:

  • Local routines and ways of working

  • Onboarding material for new employees

  • Return and after-sales processes

  • Campaign instructions

  • Product knowledge and department guides

Unlike traditional documents, content can be updated directly in StoreSprint, making it easy to keep information relevant, up to date, and accessible over time.

Tips!

  • Upload files at the correct level and correct attribute – for example, central documents at the country level and more specific documents at the regional level.

  • Use clear and descriptive file names so employees can easily understand the content.

  • Link your own created documents to To-Dos, Routines or Signals to make instructions even clearer and easier to follow.

Organise documents across your retail chain

With central Collections, you can organise documents in the Knowledge Base into categories, such as store procedures and campaign materials. This creates a consistent structure across your retail chain, making it easier for your stores to find relevant documents quickly.

Create a central collection

  1. Go to Org Admin → Collections → Create.

  2. Enter a name for your collection and choose a suitable icon.

  3. Done! The document will now appear in the selected collection in the local Knowledge Base of every store it has been published to.

Edit or delete a collection
Go to Org Admin → Collections and select the collection you want to edit or delete. Here, you can change its name, icon or delete the collection.

Add documents to a central collection

  1. Go to the Central Knowledge Base and upload a file, create a new document or open an existing one. Please note that the document will only appear in the collection for the stores and teams it has been published to.

  2. Click “Collections” and select the collection where you want the document to appear.

  3. Done! The document will now appear in the selected collection, making it easy for all relevant stores to find.

💡Tip! The same collection can be used across multiple teams, but which documents appear depends on the team assigned to each document centrally. A document assigned to a specific team will only appear in that team's collection in the local Knowledge Base. This creates a consistent structure while keeping the information relevant to each team.
